Systems Consolidation and Process Improvements

The Client

Rego Sotheby's International Realty is Bermuda's oldest Real Estate Company serving the Island since 1949. The Rego Sotheby team provides a complete professional services offering in residential, commercial and resort sales, rentals, property management, valuations and insurance.

The Business Challenge

Real Estate operations are characterized by many integrated tasks required to organize and support each transaction.  Rego Realty continued to grow and Management needed to define a new I.T. solution to support integrated business processes and eliminate the redundant tasks and overhead involved with managing multiple systems.  Challenges faced included:

  • No central storage for all listing information
  • Difficult to perform comparables on previously sold listings
  • Long process to create marketing materials on listings
  • No systems integration with general ledger
  • Poor tracking of contacts

"We were seeking a streamlined system that would simultaneously improve our responsiveness to consumers, ensure accuracy of market data reporting to the public and improve internal administrative efficiency," said Mary-Claire Havas, VP of Sales & Marketing for Rego Sotheby's.

The Solution

Rego contracted the services of Nova to help define the strategy and develop comprehensive solutions to streamline operations.  Nova worked with each department to gain a comprehensive understanding of individual objectives and the workflow involved to accomplish them.

The solution was designed and developed to include the following custom functions:

  • BeReal was developed in the .NET framework to accommodate scalability, functionality and programming ease for future development
  • Integration with General Ledger and Accounting functions
  • Enterprise solution updates website interface instantaneously
  • Customer inquiries available through Agents' mobile devices in real time
  • Manage companywide contacts
  • Match purchasers with listings based on criteria
  • Co Broker Management with other real estate agencies
  • Automated comparables that offer the integration with sold data from government registrations of sold listings
  • Automatic generation and email marketing collateral for any listing
  • Tools to assist property appraisals
  • Comprehensive statistical reporting

Outcome

The result was "BeReal", a custom software application based on Microsoft's .NET framework that integrates information and processes from five applications into one.  In addition to creating a single repository of information, the system provides for comprehensive statistical reporting and management views.  "BeReal" has enabled Rego Sotheby's to improve productivity by reassigning administrative staff to work on more strategic initiatives and reduce the number of informational errors.
